COOMBE DINGLE Bob reported on a lengthy meeting with Ande Mulligan as follows: Teas: In response to concern about the poor quality of teas on match days, Ande asked us to tell CD what we want. Under B&D rules, we have to provide teas and we have to use Coombe Dingles caterers. Rich and Russ to liaise about what we want. Pitches: Quality of pitches was discussed. Although quality was thought to be generally OK (esp Main Square), concern was expressed that only one pitch was prepared per week and we often found it to be very worn. Also that Gaflac was never covered: Ande responded that work on the Clubs covers was almost complete and that these would be ready for Gaflac for 2010. Boundaries: Bob had said that having 3 boundary lines (on the Main Square only!) was confusing and that, on the other squares, boundaries were sometimes ridiculously long, especially for Junior matches. He suggested rope boundaries but Ande replied that, at 1,250 plus VAT for 3 ropes, these were too expensive. Bob wondered if we might be able to find a sponsor for these. Problems with Bookings The problems that the Juniors had rescheduling fixtures, particularly later in the season, were due to staff shortages as a result of holidays and sickness, not the cock-and-bull stories previously advanced by Hudson about pressure of corporate bookings and major works on soccer pitches. Ande said that the Juniors were not cost effective. It is clear that the Juniors unsatisfactory relationship with Coombe Dingle will continue unless they introduce less inept management! Charges Ande advised that all charges (for pitches and nets) would increase by 2% in 2010. Although not discussed with Ande, Bob advised that he was sure that the Juniors would be charged for nets in 2010. Social Functions The Club does not have enough members to make money out of social functions (such as Social Sunday) particularly given the level of CDs charges. Ande offered to help organise joint events (with other clubs) at Coombe Dingle such as a race night. There would be no charge for the room but CD would keep all the bar profits! PLAYING MATTERS Indoor nets The number of indoor net sessions was discussed: 3 was thought to be not enough but 10 too many. It was agreed that 5 would be booked and that 4 per person per net would be charged to cover the cost. Outdoor nets It was felt that 3 nets were needed on Thursday evenings and that this could be used to justify higher subs. Third Team The possibility of a Third Eleven was discussed. This would have to play midweek as Coombe Dingle are proposing to charge a preposterous 147 for Sunday fixtures. Who to run? When? Wednesdays are taken up by the University and on Thursdays we have nets. Coaching Bob felt that 6-10 players would benefit significantly from professional coaching and improve our prospects for further promotion. Since this would apply only to a small number of players, it was agreed that they should cover the costs. It was felt that there should not be too many sessions and that it might be difficult/awkward to organise within our Thursday nets. Adam and Graham felt that the Club had no more need for coaching by Ivor Wilson; coaching routines are available on the internet. Dick Forde proposal for Senior/Junior Sunday games Dicks proposal for 4 Sunday, friendly, 20 over games in June with Shire, Twyford, Old Bs and Bishopston was discussed; 5 members of each team would have to be Under 19. This was thought to be a reasonable idea; the Seniors would probably have 6 players interested. However, given Coombe Dingles Sunday charges, we would not be able to play at home which may cause problems with other clubs. Derek agreed to check with the Juniors Under 17s and older Under 15s to gauge their reaction. B&D DINNER The B&D Dinner will be held at BAWA on Friday 16th October and Bob had booked a table of 10 at a cost of 21 per head; he had 10 names of people who wished to go. He advised that B&D would have a new sponsor for 2010, a certain Globe Sports! ANNUAL GENERAL MEETING This would be held at Coombe Dingle on Monday 9th November. Notice of the Meeting must be sent out in good time (Who is doing this?) Rich and Russ agreed to chase their players to try to get a reasonable attendance. Officers standing at the AGM. All agreed that it was vitally important that the vacant position of Secretary be filled at the AGM and two members of the Committee expressed reluctance to stand again if it were not filled! Graham agreed to produce a job spec for the position which would include the following: Dealing with B&D; Attending League meetings; Minutes of meetings; Lottery licence and insurance; Player registrations; and Chasing subs (including advising captains about who had paid). It was suggested that Secretary role could be split with the last two items undertaken by a Membership Secretary. Bob advised that he was fully aware of the importance of filling the Secretary position and had people in mind. This would be discussed again at the October Committee meeting. ANNUAL DINNER This will be held at Coombe Dingle on Friday 27th November with a format similar to last years dinner. Bob advised that Mike Cohen and friends had agreed to provide musical entertainment. Trophies to be awarded at the Dinner were agreed as follows: Young Player: Alex Davis; Most improved player: Jimmy O; First team player: Adam Barber; Second team player: Robin Smith; Performance of the year: Charlie OKelly; Clubman: To be discussed later; and Players player: Voted at the AGM. Rich and Russ agreed to produce a short list with a few stats. Bob asked that all trophies be returned to him well before the Dinner. FINANCIAL MATTERS The financial position of the Seniors is dire with a projected loss for 2009 of c1,000 even after including 1,925 of sponsorship; this is much worse than 2008 when the Clubs financial target of breaking-even without sponsorship was close to being achieved. There are a number of reasons for this dreadful performance: Increases in Uncontrollable costs Coombe Dingle and their caterers have increased their charges significantly. Whilst we are stuck at Coombe Dingle, we have little option but to accept these. Subs This year we have collected only 16 Senior (with 2 more possible) and 1 Junior subs, clearly insufficient to run two teams. This was partly due to lack of information (in the absence of a Secretary) about who had and had not paid and partly due to the lack of a clear policy on how and when to permit players to pay subs in instalments. But the main problem remains the overall shortage of players and the concern that chasing good players for subs might drive them towards more flexible clubs. It was agreed that subs would be increased to 60 in 2010 (in line with a survey of 8 clubs conducted by Bob) with match fees of 6. An additional charge of 20 would be payable if subs are not paid by the end of May. Paying subs per match would be at the discretion of the Committee in particular individual case. This would need to be discussed further but it was clear that 10 per match was insufficient to cover subs and match fees. Lack of discipline on Controllable costs There are many areas of concern including: We have incurred 300 of costs for professional coaching not approved by the Committee; We have had to spend 400 more than in 2008 on equipment because the Second team kit had been lost; We have incurred costs of 650 for clothing (polo shirts, jackets etc) and recovered only 140 despite the Committee agreeing clearly that clothing would only be purchased to individual order (and with a small subsidy). A stock of clothing remains and some cash may be generated by this but that is not really the point! In total these costs amount to over 1,000!
